Media kit template PDF: when it helps, when it costs you the deal

PDF media kits still have a job to do — but not the one most creators think. Here is when to send a PDF and when a link wins.

A media kit template pdf is the default because it looks fixed and final. It prints, it keeps your fonts, and it feels like a real document. It is also the format most likely to be ignored, and knowing why saves you deals.

What a PDF is genuinely good for

  • Procurement and legal — some agencies must file a static document.
  • In-person meetings — a printed one-pager still lands well.
  • Deck inclusion — brands paste your page into their own campaign deck.

What it costs you

The moment you export, your numbers are frozen. Reach in a media kit ages in weeks. Most creators end up with kit-v4-final-final.pdf and no idea which version a brand is quoting from. Attachments over a few megabytes get blocked, and a two-column PDF pinch-zoomed on a phone is unreadable. You also learn nothing: no opens, no clicks, no signal about whether the brand looked.

The structure to use either way

Cover, about, stats, traffic by country, past partnerships, one case study, rates, contact. If you are unsure which numbers belong in the stats block, our what brands actually look for breakdown lists them in priority order.

The hybrid that works

Send the live link first. Keep a PDF export ready for the rare request. That way your pitch is always current and you still satisfy the agency that needs a file. If you want the difference between the two documents you are juggling, read media kit vs rate card.
